What belongs in a painting submittal package
Follow the paint schedule system by system and include:
- A list of paint systems by substrate (gypsum board, masonry, wood, ferrous and galvanized metal), each with its primer and finish coats
- Product data for every coat — primers, intermediate and finish coats — from one manufacturer per system
- VOC content for each product, checked against the spec and any green building or local air quality limits
- Color and sheen samples (draw-downs) for every color on the finish schedule, labeled with the color code
- Listing with a standard such as MPI where the spec requires it
- Surface preparation and application instructions, including any primer or blast-cleaning requirements on steel
- For high-performance coatings: dry film thickness for each coat, and the coating system data sheet
- Mock-up or field sample plan where the spec asks for one, and extra stock for the owner
Colors are the slow part
The product data is usually approved in one round. Colors are not: the architect or interior designer often finalizes colors after seeing the draw-downs, and changes can run late into the job. Submit the products and the color samples together, flag any colors that are still missing from the finish schedule, and ask for the color selections in writing. Do not order large quantities until colors are approved.
The review round-trip
Painting packages go to the architect; high-performance coatings on steel may also go to the structural engineer or a coatings consultant. Expect notes on sheens, primers for specific substrates, and VOC limits. A field mock-up — one painted wall or door frame — is often required before full production, so build that into the schedule.
Common rejection reasons on painting submittals
Why painting packages come back:
- Primer and finish coats from different manufacturers within one system
- VOC content above the limit in the spec or the local air quality rules
- Missing color draw-downs, or samples not labeled with the finish schedule codes
- Wrong sheen for the location (for example, flat where eggshell or semi-gloss was specified)
- Products not on the MPI or other list the spec calls for
- No dry film thickness or surface prep for high-performance coatings on steel
- A system missing for a substrate on the schedule, such as galvanized metal
How Submittal.App builds the painting package
Give Submittal.App the paint schedule and the AI Builder pulls the product data for each primer and finish coat, groups them by system, and generates the package with a cover sheet and table of contents that matches the schedule. Physical draw-downs still go by hand, but the product data and VOC sheets for every system are done in minutes.
