What it does
The Doc Template page sets how your submittal PDF looks. You pick the style of each page and what shows on it. Your template is shared by your whole company, so every package matches.
How to open it
- Look at the left sidebar.
- Click Doc Template.
There are two other ways in:
- In the Submittal Builder, open Custom fields on a product. If you have no fields yet, click Set up custom fields.
- On the Submittals page, start a New Submittal. Click the document template link.
The page title reads Submittal Template.
The tabs
Each tab is one page of your PDF. Settings are on the left. A preview is on the right.
- Cover Page — the front page.
- Transmittal — the cover letter page.
- Products / Summary — the product schedule.
- Contents — a table of contents, plus how sections look.
- Back Cover — a closing page at the very end.
Cover Page tab
Under Cover Style, pick one: Modern, Minimal, Standard, or Classic.
- Enable Cover Page — turn the cover on or off.
- Show Company Logo — then use Upload Logo to add your logo. Click the X to remove it.
- Document Color — pick a color swatch or a custom color. The cover, transmittal, and schedule all use it.
- Show Company Name, Show Project Name, Show Date.
- Show Prepared By — then type a name in Prepared By.
Transmittal tab
Under Transmittal Style, pick one: Modern, Minimal, Standard, or Classic.
- Enable Transmittal Page — turn the page on or off.
- Header fields you can show: Show Transmittal Number, Show Date, Show To, Show From, Show Email, Show Subcontractor, Show Manufacturer, Show Supplier. When one is on, a box opens so you can type a default value.
- Show Submittal Details — plus Show Submittal Number, Show Submittal Name, Show Category, Show Submittal Type, Show Spec Section, Show Drawing Number, and Show Description.
- Show Remarks — then type your notes in Remarks.
Architect, Engineer, and Distribution are not on this page. You fill them in for each submittal in the Submittal Builder. Open the Settings tab there and use the transmittal fields.
Products / Summary tab
Turn on Enable Products Page to print the schedule. Under Schedule Style, pick one:
- Standard — a modern product table.
- Standard · Fast — the same Standard layout. It builds the fastest.
- Custom Schedule — a photo index with your own fields, like Color, Size, or Finish.
- Classic — the original simple table.
Pick which columns show: Show Product Name, Show Description, Show Part Numbers, Show Manufacturer, Show Quantity, and Show Status.
Show Product Images adds a photo column. You set a photo for each product in the Builder. A product with no photo uses its cut sheet picture.
Custom Schedule fields and trade presets
When you pick Custom Schedule, a Custom Fields box opens.
- Open Load a trade preset… and pick your trade. Examples: Lighting, Electrical, Plumbing, HVAC, Flooring / Finishes, Doors & Hardware, Signage.
- Or click + Add field and type your own field name.
- Click the X next to a field to remove it.
- Click Update Template to save.
A preset also turns on product images. Your fields show up on each product in the Builder. They print as "Label: value" lines on the schedule.
Clickable Page Index
With Custom Schedule, turn on Clickable Page Index. It adds a Page column. A reviewer can click a row to jump to that product's sheet. The Standard schedule always has this.
Contents tab
- Enable Contents Page — adds a one-page index after the transmittal. It lists the cover, transmittal, product summary, each section, and attachments. The page numbers are clickable. It helps most on long packages.
Under Sections:
- Section Divider Pages — adds a title page before each section's first cut sheet.
- Number Sections — prints "1. Flooring" instead of "Flooring".
- Section Bands on Schedule — adds a heading row above each section on the schedule. Turn it off for one long table.
Back Cover tab
- Enable Back Cover — adds a closing page after the last cut sheet.
- Sign-off message — for example, "Thank you for your review." Leave it empty for a logo-only page.
- Show Company Logo, Show Contact Details, Show Project Reference.
Live preview
The right side shows the page for the tab you are on. It shows what will print. When you pick a new style, the preview refreshes.
Saving
- A style choice saves right away. You will see "Style updated."
- Toggles, text, and custom fields save when you click Update Template at the top right.
- Changes apply the next time you make a PDF.
Common questions
Does this change one submittal or all of them?
All of them. The template is shared by your company.
Where do I type the Architect or Engineer?
In the Submittal Builder, on the Settings tab for that submittal.
My changes did not show up in my PDF.
Click Update Template first. Then make the PDF again.
Submittal.app branding on your PDF
Your cover settings control your own logo, company name, project info, and "prepared by." The small "Submittal.app" text on the cover, product pages, and back cover is not a cover setting. It comes off on the Team and Enterprise plans. See the "Billing and Plans" article.
