What belongs in a door hardware submittal package
Work from the door schedule, one opening at a time, and include:
- Hardware schedule: each opening number, door and frame type, fire rating, hardware set number, and every item in the set with manufacturer, model, function, finish and quantity
- Product data for every item: hinges, locksets and cylinders, exit devices, closers, stops, seals and thresholds, door pulls and plates
- Finish designation for each item (BHMA code, e.g. 626 or 630), matched to the spec
- Wiring diagrams for electrified openings — electric strikes, mag locks, power transfer hinges, request-to-exit and door position switches — showing the power supply and the connection to access control and fire alarm
- Keying schedule as its own submittal, after the keying meeting with the owner
- Templates for the door and frame makers, so lock, hinge and closer preps match
- Fire-rated hardware listing for every rated opening, plus any certification the spec asks for (often from an Architectural Hardware Consultant)
- Warranty and maintenance data where the section calls for it
Coordinate with the frames, doors and security first
Door hardware touches more trades than almost any other package. Hollow metal frames (08 11 13) and wood doors (08 14 16) are prepped from your templates, so the hardware submittal needs to be approved before their shop drawings can be finished. Electrified openings tie into access control (28 13 00) and fire alarm door release, so the wiring diagrams should match those packages. Send hardware early and sequence it with the doors, frames and security submittals — a late hardware package holds up all of them.
The review round-trip
Hardware packages usually go to the architect, sometimes to a hardware consultant, and the keying schedule goes to the owner. Expect comments on closer arms and mounting, lever trim, and functions that do not match the room use. Keying almost always takes its own round with the owner's facilities team, so start the keying meeting as soon as the hardware schedule is approved — cylinders and keys cannot ship until it is done.
Common rejection reasons on door hardware submittals
Why door hardware packages come back:
- Hardware sets that do not match the door schedule — missing openings, wrong door numbers, or pairs treated as singles
- Non-rated exit devices or hardware on fire-rated openings
- Lock or exit-device functions that do not suit the room (for example, a classroom function where storeroom was specified)
- Wrong finish, or mixed finishes on the same opening
- No wiring diagrams for electric strikes, mag locks or power transfer hinges
- Closers with the wrong arm type or mounting for the door swing
- Hardware that fails accessibility rules — knobs instead of levers, or closers that exceed the opening-force limit
How Submittal.App builds the door hardware package
Give Submittal.App the door schedule and hardware sets and the AI Builder pulls the cut sheets for each item, groups them by hardware set, and generates the package with a cover sheet and table of contents that follows the schedule. The schedule itself stays yours, but the hours spent hunting down dozens of hinge, closer and lockset sheets are done in minutes.
