Procurement Emails

This article shows every way to send email from the Procurement page: quotes, POs, follow-ups, and automatic status emails.

Email a quote or PO

  1. On the Quotes or Purchase Orders tab, check one row.
  2. Click Email on the bar at the bottom. (On an open quote, the Email button is at the top.)
  3. Pick Quick for a plain email, or Formatted for one with your branding.
  4. Type a short note in Message (optional), or leave it blank.
  5. Check the preview. The PDF is always attached.
  6. Click Copy email to paste it into your own email app. Or type the Recipients and click Send.

A PO will not send if the rep or vendor has no good email address. Add an email to the contact, then try again.

Send a follow-up about log items

  1. On the Procurement Log tab, check the items you want to ask about.
  2. Click Email on the bar at the bottom.
  3. The Send Email box opens with a subject and message already filled in. Change them if you like.
  4. Fill in To. Add your address in From (Reply-To) so replies come to you.
  5. Click Send. Or click Save as Draft to save it to your Outlook drafts. This needs a connected Microsoft account.

You can also check notes on an item and click Create Email. The notes go into the message.

Recurring status email

The app can email a status update on a schedule.

  1. On the Procurement Log tab, find the Recurring Status Email box.
  2. Click Configure.
  3. Add Recipients. Click Add after each one.
  4. Set the Subject, Frequency, and Time of day. For weekly emails, pick the Day of week.
  5. Turn on Include all items to send every item. Leave it off to send only open items.
  6. Click Save schedule. The schedule turns on when it has recipients.

Use the switch in the Recurring Status Email box to turn it off or back on.

Click Send Now to send one right away. Frequency can be Daily, Weekdays (Mon–Fri), Weekly, Every 2 weeks, or Monthly.

Saved email addresses

Addresses you send follow-ups to are saved in the Email Repository on the Procurement Agent Settings page. See Procurement Settings.
