Shipment tracking lets you log what is in each shipment and follow it with the carrier until it arrives.
Log a shipment
- Go to Procurement and click the Procurement Log tab.
- Click New Shipment. Or check some items and click Create shipment on the bar at the bottom.
- Under What's in this shipment, use + and − to set how many of each item are in the box. You can see what is left after this shipment.
- Under How it's moving, pick Parcel or LTL freight.
- Type the Tracking number. For freight, type the PRO / BOL number.
- Pick the Carrier. Leave it on Detect from number… to let the app guess. Or pick + Add carrier… to add your own.
- Set the Expected arrival date.
- Under Paperwork, add a packing slip, BOL, or invoice if you have one (PDF, JPG, or PNG). This is optional.
- Add Notes, like "split shipment" or "dock hours."
- Click Create shipment.
The item status updates from the amount you ship and receive. A parcel with no tracking number shows as shipped, untracked.
Automatic tracking
When you save a tracking number, the app starts following it with the carrier. You do not need to do anything else. The status in your log moves forward on its own, for example:
- At Warehouse
- In Transit
- Out for Delivery
- Partially Delivered
- Delivered
- Exception (the delivery has a problem)
The app checks with the carrier about every 30 minutes, and also gets updates from the carrier when they happen.
Check tracking yourself
- Click a tracking number in the Tracking column. The app checks the carrier and opens the carrier's tracking page.
- Click Refresh Tracking at the top to check every item in the log at once.
- Ask the Procurement Agent, like "Where is the UPS shipment for the troffers?"
The tracking page
Shipment update emails have a Track your shipment button. It opens a tracking page with your company logo. No login is needed. The page shows:
- The status, like "Your order is on its way."
- The carrier, tracking number, and expected date.
- A View on button that opens the carrier's own page.
- The Tracking history, with times and places.
- The items In this shipment, with part numbers and amounts.
Shipment update emails go to the addresses in the Email Repository on the Procurement Agent Settings page. Each shipment sends one email, even if it has many items.
Common questions
Why did my status not change? Check that the tracking number and carrier are right. Then click Refresh Tracking.
The tracking page says the link is invalid. Use the link from the most recent shipment email.
Can I fix a shipment? Yes. Click the arrow at the left of the item to open it. Click Edit Shipment, make your changes, and click Update shipment.
