Use this to turn a reviewer's colored marks on a PDF into a list of comments you can act on.
Best way: upload the marked-up PDF as a new revision
When a reviewer sends back a marked-up PDF, do this:
- Go to the Submittals page and click the submittal's title.
- In the detail panel, click New revision.
- Drop in the reviewed PDF, or click to pick it.
- Click Create Revision.
- The app reads the reviewer's marks for you. It tells you how many comments it found.
While it reads, the Markups tab says "Analyzing annotations — this takes 1–2 minutes." The tab updates by itself when it is done.
Read marks from the current PDF
- Open the submittal in the detail panel.
- Click the Markups tab.
- Click Read markups from PDF. The button says Reading… while it works.
- When it is done, you see how many markups it found. If there are none, you see "No reviewer markups found in this PDF."
The button is gray if the submittal has no PDF yet.
What each markup shows
- Name — the product it is on, or "Comment."
- A PDF tag — the app read this mark from the PDF. A person did not type it in the app.
- Page — the page the mark is on.
- Text — what the reviewer wrote.
The color tells you how urgent it is. Red marks show in red. Yellow and orange marks show in amber. Other marks show in the normal color.
Reply to the comments
After you upload a new revision, click Draft AI Responses to All Comments on the Markups tab. AI writes a reply to each comment. Click a comment to see its reply. You can copy it or click the pencil to edit it.
Common questions
Why did it find no markups?
The app looks for colored marks, like red pen, highlights, and colored notes. Then AI reads what they say. Black or gray marks may be missed because they look like the page itself.
Where do share-link comments show up?
On the same Markups tab. You don't need to read a PDF for those.
